Totem Gymnastics Terms and Conditions

  1. Welcome
  • We’re so pleased to welcome you and your child to Totem Gymnastics Club!
  • Our aim is to provide a fun, safe and supportive environment for every child.
  • By enrolling your child, you agree to follow the terms and conditions below, which help us make sure everything runs smoothly for all members. 

 

  1. Registration & Membership
  • You must be over 18 years old to register your child or become a club member. 
  • Membership begins once we confirm your registration and payment. 
  • Spaces in classes are limited and subject to availability. 
  • We do not currently offer “membership freezes” due to high demand and waiting lists. 
  • Please make sure all details on your child’s registration (including emergency contact and medical information) are accurate and kept up to date. 

 

  1. Fees & Payments
  • Class fees are payable monthly in advance via our booking system. 
  • Your monthly payment secures your child’s place in class — this place is reserved specifically for them each month. 
  • If a payment is not received on time, your child’s place may be offered to another gymnast from our waiting list. 
  • Please note that missed classes are non-refundable and cannot be carried forward

 

  1. Cancellations & Refunds
  • To cancel your membership, please email customerservice@totemgym.co.uk with at least two weeks’ notice
  • If your next payment is due within that two-week period, a pro-rata payment will be applied. 
  • Totem Gymnastics does not offer refunds for classes or memberships once payment has been made, except in exceptional circumstances (for example, if we cancel a class permanently). 
  • Refunds will not be given for illness, holidays, or failure to attend. 

 

  1. Participation & Safety
  • Children must wear suitable gymnastics clothing: leotard, shorts and t-shirt, or leggings and t-shirt. No jeans, skirts, jewellery, or watches please. 
  • Long hair must be tied back, and piercings covered. 
  • No food, sweets, or chewing gum are allowed on the gym floor. Water bottles are welcome! 
  • Please arrive on time and ensure your child is collected promptly at the end of their class. 
  • All participants must listen carefully to their coach’s instructions for their safety and that of others. 

 

  1. Media & Social Media Consent
  • We love to celebrate our gymnasts’ achievements and sometimes take photos or videos during sessions, events, or competitions. 
  • When signing up, you’ll be asked to consent or opt out of social media and media use. 
  • Images are used respectfully and may appear on our website or social media channels. 
  • You can change your media preference at any time by logging into your JoinIn account. 

 

  1. Health, Illness & Safeguarding
  • Please do not attend classes if your child is unwell or has an infectious condition (e.g. sickness, ear/eye infection, chickenpox). 

 Children must be clear of symptoms for at least 48 hours before returning. 

  • You must inform us of any medical conditions or injuries when joining and update us if anything changes. 
  • In the event of illness or injury during class, we will contact you using the emergency details you have provided. 
  • Our club follows strict safeguarding policies, available on request. Our Club Welfare Officer is: Stephanie Blood – 07305 090258  
  1. Behaviour & Conduct
  • We encourage respect, teamwork, and positivity at all times. 
  • Bullying, aggressive behaviour, or disrespect toward staff or other members will not be tolerated. 
  • Totem Gymnastics reserves the right to suspend or cancel a membership if behaviour repeatedly breaches these standards. 

 

  1. Liability
  • Gymnastics is a physical activity and carries an element of risk. 
  • Totem Gymnastics provides a safe and supervised environment; however, participation is at your own risk. 
  • We are not responsible for loss or damage to personal belongings brought into the club. 
  • Nothing in these terms limits our responsibility for injury or loss caused by our negligence. 

 

  1. Changes to Classes or Terms
  • Occasionally, we may need to change or cancel a class (for example, due to staff illness or facility maintenance). We will always try to give as much notice as possible. 
  • We may update these Terms and Conditions from time to time. The latest version will always be available on our website.
